2026 Med Spa Management Software Pricing Guide for Owners

This med spa management software pricing guide compares current prices, hidden fees, compliance checks, and total-cost examples for owners and operators.

Med spa owner comparing management software prices and operating costsWatch · 20s

Med spa management software can cost anywhere from a relatively inexpensive scheduling subscription to a custom-priced clinical and operational suite. The problem is that those products are not interchangeable.

A low entry price may cover one calendar but exclude forms, marketing, clinical records, text usage or additional providers. A higher-priced suite may combine EMR, CRM, inventory and reporting but require paid implementation. Payment processing, data migration and staff time create another layer of cost.

This guide uses publicly listed prices where vendors publish them and identifies quote-based products where they do not. Pricing links were reviewed for this August 2026 guide, but vendors can change packages at any time. Confirm every price and inclusion in a written proposal before making a decision.

If your immediate problem is leads going unanswered rather than clinical charting, evaluate that workflow separately. See how Fitty handles configured med spa inquiry, follow-up and booking workflows →

Current med spa software pricing examples

Public pricing is most common among scheduling-led platforms. Clinical and enterprise systems are more likely to use custom quotes because cost depends on providers, locations, implementation and selected modules.

Here are representative published or sales-led pricing models:

Platform Public pricing snapshot Core strengths Clinical fit Automation and AI Best fit and limitation
WTF Go Pricing is provided based on business requirements; request a current quote Lead management, scheduling, follow-up, payments and wellness-business operations Not presented as a replacement for every specialized med spa EMR; confirm required charting and clinical integrations Fitty can handle configured lead conversations, follow-up, booking and dues-related outreach Useful when response coverage and lead conversion are priorities; scope clinical record requirements separately
Vagaro The official pricing page lists a one-calendar, one-location starting plan at $30 per month, with pricing increasing as calendars are added Scheduling, marketplace exposure, forms, memberships, payments and marketing options Primarily a business-management platform; verify medical charting requirements Client communication and marketing tools are available, with some functions sold as add-ons Accessible entry point; add calendars, paid features and processing before comparing total cost
Mangomint The official pricing page lists Essentials at $165 per month, Standard at $245 and Unlimited at $375, subject to current terms and provider eligibility Scheduling, checkout, memberships, forms, communication and workflow automation Strong front-of-house features, but medical documentation may require another system Includes workflow and communication automation; verify AI scope against your use case Good for polished spa operations; not automatically a complete clinical system
Boulevard The official page publishes or routes buyers to current plan pricing; confirm per-location cost, included messages and add-ons directly Booking, point of sale, memberships, forms, marketing and client experience Appropriate for many self-care workflows; confirm treatment documentation and photo requirements Automated campaigns and client communication are available; verify current AI functions Strong consumer experience; clinical workflows may require additional software
Aesthetic Record Package and add-on information is available through its official pricing process; calculate cost using provider count and selected services Aesthetics-focused EMR, patient records, treatment documentation and practice management Strong alignment with medical aesthetics Offers patient engagement and operational tools; compare lead-response automation in a live demo Strong clinical focus; verify marketing, call handling and multi-location reporting depth
PatientNow Sales-led pricing based on the selected practice-management, EMR, CRM and engagement products Broad medical-aesthetics and cosmetic-practice suite Designed for medical and aesthetics practices CRM and patient-engagement capabilities depend on the purchased configuration Potentially broad coverage, but buyers need an itemized proposal showing every module
Zenoti Custom pricing based on business type, locations and deployment scope Scheduling, inventory, payments, marketing and enterprise operations Supports spa operations; verify medical-record requirements for each service line Provides engagement and operational automation; confirm the current AI package Well suited to larger groups; implementation and configuration can be more involved
Mindbody The official pricing page advertises plans starting at $99 per location per month, subject to current package terms Scheduling, payments, marketing and consumer marketplace visibility Better known for fitness and wellness than specialized medical documentation Marketing and communication automation vary by plan Useful when marketplace discovery matters; many med spas will still need clinical software

Published starting prices are not full med spa budgets. For example, a one-calendar plan will not reflect a location with several injectors, aestheticians, treatment rooms and administrators. Likewise, a custom clinical suite cannot be compared with a basic scheduler without accounting for the separate systems the scheduler leaves in place.

What actually determines the price

Locations, providers and calendars

Vendors may charge by location, bookable calendar, provider or staff user. Ask whether administrators, contractors and occasional providers count as paid users. For multi-location groups, determine whether a provider working at two sites is billed once or twice.

Clinical and operational modules

A base subscription may exclude capabilities a med spa considers essential:

  • Electronic medical records
  • Intake and consent forms
  • Before-and-after photo storage
  • Prescription or e-prescribing workflows
  • Inventory and lot tracking
  • Membership billing
  • Two-way texting
  • Lead management and automated follow-up
  • Advanced reporting
  • Reputation management

Request a line-item proposal rather than accepting a single monthly total.

Implementation and migration

Implementation may include account configuration, service mapping, training and data migration. Ask exactly which records can be moved. Client contact data is generally easier to migrate than treatment histories, photographs, signed forms, package balances and stored payment credentials.

Payments and communication usage

Separate the subscription from payment processing. Review card-present and card-not-present terms, chargebacks, payout timing, hardware, deposits, refunds and recurring billing.

Texts, phone calls, email and AI conversations may have allowances or usage charges. Ask how overages are calculated and whether automated messages, inbound replies and appointment reminders all draw from the same allowance.

Sample total-cost calculations

The examples below show how to calculate cost; they are not claims about what a typical med spa pays. Published prices come from the linked vendor pages. Every other cost should be replaced with figures from your written quote.

Single-location example

Suppose a single-provider business selects Vagaro’s publicly listed one-calendar starting plan:

  • Base subscription: $30 × 12 = $360 per year
  • Paid add-ons: insert quoted monthly add-ons × 12
  • Payment cost: annual card volume × quoted rate, plus applicable transaction fees
  • Hardware: insert one-time quoted cost
  • Migration and setup: insert one-time quoted cost
  • Separate EMR: insert annual subscription if required

The first-year calculation is:

$360 + annual add-ons + processing + hardware + implementation + separate clinical software

The useful lesson is not that the system costs $360. That is only the published base subscription in this example. The full cost remains unknown until every required component is added.

Four-location example

Assume each of four locations uses Mangomint Standard at the publicly listed $245 per month, and assume the vendor confirms that each location requires its own subscription:

  • Subscription: 4 × $245 × 12 = $11,760 per year
  • Central reporting or enterprise features: add the quoted amount if not included
  • Communication usage: add annual included-volume overages
  • Processing: add each location’s payment costs
  • Implementation: add configuration and training for all four sites
  • Clinical platform: add the cost of any required EMR

That produces a starting software line of $11,760 annually before the other categories. This is an illustrative calculation based on a published plan price and an explicit per-location assumption—not a Mangomint quote. Confirm location rules and eligibility directly with the vendor.

Clinical privacy and security checks

A booking platform handling contact details is not automatically suitable for storing medical records. Build a written due-diligence checklist with your legal and compliance advisers.

Ask each vendor about:

  • Business associate agreements: Will the vendor sign a BAA when required, and which products or features does it cover?
  • Role-based access: Can receptionists, providers, managers and marketers receive different permissions?
  • Audit logs: Can administrators see who viewed, changed, downloaded or deleted a record?
  • Data encryption: How is data protected in transit and at rest?
  • Photo storage: Where are treatment photos stored, how are they linked to records and can staff download them?
  • Consent controls: Can the system maintain treatment consent separately from consent to use photographs for marketing?
  • Retention and deletion: How long are clinical records, messages and photos retained, and what happens after cancellation?
  • Data export: Can the practice export records in usable formats without losing attachments or audit history?
  • Authentication: Does the platform support multifactor authentication, session controls and secure password policies?
  • Incident response: How and when will the practice be notified of a security incident?

State rules may impose additional requirements for record retention, telehealth, photography, consent and medical advertising. Software does not transfer those obligations away from the practice.

Define AI receptionist scope precisely

“AI receptionist” can describe anything from a chatbot that captures a phone number to an agent that takes configured actions. Require a workflow demonstration and document the boundaries.

Fitty is intended to answer lead inquiries around the clock, follow configured conversation paths, follow up and book when it has access to the appropriate scheduling rules. Booking depends on correct service, provider, availability and integration configuration.

Payment collection should also be defined carefully. Fitty can support configured dues-related reminders and collection workflows; that is not the same as medical billing, insurance claims, debt collection or independent access to arbitrary patient accounts.

For clinical questions, establish escalation rules. An AI receptionist should not diagnose, recommend treatment, make promises about candidacy or manage emergencies. Decide which questions receive approved administrative answers and which must be handed to a licensed professional.

How to compare final proposals

Give every vendor the same operating scenario and ask for a demonstration from first inquiry through completed appointment. Then compare:

  1. First-year and renewal-year cost
  2. Required add-ons and parallel systems
  3. Clinical documentation coverage
  4. Lead-response and follow-up coverage
  5. Payment and membership workflows
  6. Multi-location permissions and reporting
  7. Migration scope and data portability
  8. Contract length, renewal and cancellation terms
  9. Implementation effort for your staff
  10. Security and compliance documentation

The right choice is not automatically the lowest monthly subscription or the platform with the longest feature list. It is the system—or documented combination of systems—that covers your clinical, revenue and front-desk workflows without leaving expensive gaps.

Frequently asked questions

How much does med spa management software cost in 2026?

Public starting prices can begin around $30 per month for basic scheduling, while broader clinical and multi-location systems commonly require custom quotes. The total also depends on providers, locations, add-ons, implementation, communications and payment processing.

Why do many med spa software vendors not publish prices?

Clinical modules, provider counts, location structures, migration and implementation needs vary considerably. Ask for an itemized quote so optional modules and usage charges are not hidden inside one total.

Does med spa management software need to provide a BAA?

If a vendor handles protected health information as a business associate, a BAA may be required. Confirm applicability with qualified compliance counsel and verify exactly which vendor products and subprocessors are covered.

Can an AI receptionist replace a med spa EMR?

No. An AI receptionist can support administrative conversations, follow-up and configured booking workflows, but it does not replace clinical documentation, provider judgment or an EMR required by the practice.

What should multi-location med spas ask about pricing?

Ask whether fees are based on locations, providers, calendars or users, and whether central reporting costs extra. Also confirm cross-location records, permissions, provider scheduling, implementation and data migration terms.
